Alternate Calendars are used to define membership days/values that are different from the Master School Calendar.

  • Set Rule for Adding days to the Calendar - set Membership Values using a Daily Pattern or Alternating Days.
  • View/Edit Alternate Calendar - to change the Membership value of any day.
  • Copy -to create another calendar based on an existing calendar
  • Rename - to change the name of the calendar
  • Delete - a confirmation to delete will come up if the calendar has not been used.  If the calendar has been linked to either students or staff then a warning message will appear that the calendar can not be deleted.

Sort: Click a column header to sort the data.  Once for ascending, twice for descending, a third time to return to default Record # sort ascending.

Filter: Click the filter icon to filter the data.  A checkmark above the filter indicates a filter has been applied.

Set Default Calendar for Future Students/Staff: to select the calendar that should be assigned by Grade Level/Staff.

Batch Enter Calendar to Existing Students: using one of the methods; Saved Views, Grade Levels, DB Field(s), Individual Students, Course/Section, or Homeroom.

Add a New Alternate Calendar

  1. Enter New Alternate Calendar Name
  2. Set Rule for Pattern and Membership Values
  3. Save

Set Rule for Adding Days to the Calendar

The number of Students and Staff that are assigned to the Calendar appear above the help text.  Click on the number to see the detail (User Preference ID number and Name).

  1. Select Pattern 
    • Daily Pattern - Enter the Membership Value for each day of the week.  Enter zero for days that are not part of the School Week.
    • Alternating Days -This pattern allows the Membership Value to alternate between days.  The pattern is typically used by schools that operate on a block rotation schedule.
  2. Enter Membership Values
  3. Save

View/Edit Alternate Calendar

  1. Select days to Edit Membership Value - for example on calendar dates that existed before the rule was applied. 
  2. Enter the New Membership Value
  3. Apply - Done
  4. Done

Set Default Calendar for Future Students/Staff

  1. Select the Default Calendar to use when adding a New Student to a Grade Level or New Staff.
  2. Save

Batch Enter Calendar to Existing Students

  1. Select the Calendar 
  2. Select Students using one of the methods; Saved Views, Grade Levels, DB Field(s), Individual Students, Course/Section, or Homeroom.
  3. Check the box to Confirm 

Batch Enter Calendar to Existing Staff

  1. Select the Calendar 
  2. Select Staff using one of the methods; Type (Teaching or Non-Teaching), DB Fields(s), Views, Individual Staff, Homeroom, or Course/Section.
  3. Check the box to Confirm
